The best open house sign-in sheet alternative

A clipboard on the kitchen counter was fine when the goal was just proving someone showed up. It's not fine when the goal is turning visitors into clients.

What's actually wrong with a paper sign-in sheet

It's not that paper doesn't work at all - it's that it quietly loses you leads in ways you don't notice until you're back at your desk. A few of the most common ones:

  • Handwriting you can't read. Half the emails on a real sign-in sheet have a typo or a guess baked in - a swapped letter, a missing digit - and there's no way to tell which ones until the bounce comes back.
  • No verification at all. A visitor who doesn't want to be contacted can write anything, and you won't find out it was fake until your follow-up email bounces.
  • Manual data entry. Someone still has to retype every row into a spreadsheet or CRM before it's usable - a task that reliably gets postponed until the leads have already gone cold.
  • Zero automatic follow-up. The sheet itself does nothing after the open house ends. Whatever happens next is 100% on you remembering to do it.

What a QR sign-in changes

A QR code on the sign-in table or yard sign sends visitors to a page on their own phone instead of a shared clipboard. That one change fixes most of the paper problems at once:

  • Visitors type their own contact info, so there's no handwriting to decode.
  • The data lands directly in a system, not a paper stack waiting to be transcribed.
  • A page that also shows listing photos and price gives visitors a reason to actually use it, instead of skipping the sign-in altogether.

What most QR sign-in setups still miss

A QR code alone gets you a digital list - it doesn't get you a good list. Two things still matter after the scan:

  • Verification. A digital form can be filled out with a fake email just as easily as a paper one can. Checking that the email and phone are real, at the moment of sign-in, is what actually separates a real lead list from a guess.
  • What happens next. The list is only useful if someone follows up - and follow-up that depends on you remembering, mid-weekend, after your third open house of the day, doesn't happen reliably.

This is the gap ShowSuite was built to close - a QR sign-in page branded to your listing, real email/phone verification at the moment someone signs in, and automated welcome, follow-up, and feedback emails so a lead doesn't just sit in a spreadsheet waiting for you to notice it.

If you just need a plain QR code for a link you already have - a Google Form, a listing page, anything - there's a free version of that here too: free QR code generator.
